Commitment to Privacy

This Privacy Policy and Security Statement is to inform you about our collection and use of non-public personal information about users so that you, as a customer, are aware of how your own non-public personal information is collected and used. We use customer information every day to ensure fast and accurate approval and processing of payment transactions, including credit and debit card transactions.

OneSuite is committed to honoring to protect your privacy. Please read the OneSuite Privacy Policy and Security Statement below and services that you may use.

Security of Personal Information

Your privacy is a top priority for OneSuite. We use the most sophisticated and up-to-date security measures to ensure that any information you transmit to us is protected. Whenever your personal information is sent from your browser to our server, it is encrypted using server certificate technology via the Secure Socket Layer to ensure that no third parties can gain access to it.

We employ appropriate protection to users information against unauthorized access, disclosure, alteration or destruction. These may include, among others, encryption, physical access security and other technologies. OneSuite continually reviews and enhances its security systems, as necessary.

All customer data is stored on a heavily secured server to protect it from outside parties, and employees of OneSuite will not have access to your personal information. Your e-mail, voice mail, faxes and long-distance account information is accessible only to you through use of your User Name and a password you provide. Employees of OneSuite will have access to your account information only as required by you to handle any questions you may have about your account. Each of our employees has responsibility for maintaining and protecting the confidentiality of customer information. Our company policy is to prohibit employees from accessing your personal information unless there is a business reason to do so. We train our employees to recognize the importance of customer confidentiality. Employees who violate these standard requirements are subject to disciplinary actions.

Information We Collect

OneSuite may collect personally identifiable information (such as name, email address, postal address) and/or third party personally identifiable information through its website and app. In some situations, such as when you order a product or service online or register for an account, OneSuite will collect billing information, such as your credit card number and billing address, and we may share this information with our third-party contractors (such as your credit card company solely for the purpose of processing the transaction you have requested). You may choose to provide individual information to OneSuite in a number of ways through our websites and apps such as by:

  • Registering for a OneSuite account;
  • Ordering a product or service from us;
  • Sending us email;
  • Registering to receive news, public policy updates, or information about our products or services; or
  • Applying for a job.

When customers and visitors supply information about themselves for a specific purpose, OneSuite uses the information for that purpose (such as to provide the information the customer/visitor has requested or to consider a visitor for a particular job). When customers/ visitors use our websites to order products or services, or to request information about them, we may use the individual information as we would use the same information obtained offline - for example, to evaluate your service needs and contact you regarding additional services you may find useful. You have the right to choose not to receive this information by notifying us of your preference. We do not sell individual information obtained online about our visitors. And, we will not disclose the individual information provided to us online to anyone outside of OneSuite or our contractors unless you specifically authorize it (by making a payment using a credit card, for example, you authorize us to provide information regarding the payment to your credit card company), it is required by law, or disclosure is necessary to protect the safety of customers, employees or property.

We do not sell individual information obtained online about our visitors. And, we will not disclose the individual information provided to us online to anyone outside of OneSuite or our contractors unless you specifically authorize it (by making a payment using a credit card, for example, you authorize us to provide information regarding the payment to your credit card company), it is required by law, or disclosure is necessary to protect the safety of customers, employees or property.

Indirect End User Phone Contact Information (Personal Identifiable Information)

OneSuite acts as a data processor with regard to indirect end user personal identifiable information and our Customers act as the data controller of such data. In the course of OneSuite’s processing and protection of such data, all use will be in conformity with the data controller’s instructions.

Specifically, only when enabled via system permission on OS Android app and OS iOS apps, OneSuite shows personal contacts within the respective application. When the user initiates a call to one of his/her phone contacts, the phone number is sent securely through OneSuite’s API. OneSuite does not store this number with any other PII, and it cannot be directly or indirectly attributed to any person or persons; OneSuite stores only the phone number and pertinent metadata so as to be compliant with all applicable state and federal laws, and OneSuite does not share this data with any advertisers or third parties under any circumstances. A user can revoke phone contact access on his/her mobile device at any time, and his/her app experience is not hindered or interrupted.

OneSuite Android and iOS apps also uses Gravatar, only when enabled via Settings and UIConfigs, which is a service that provides avatar images linked to the MD5 hash of the user’s email address. This means that, only when Gravatar use is enabled, we hash each contact’s email address and send it to Gravatar to try and retrieve an avatar image. MD5 hashes cannot be directly or indirectly attributed to any person or persons, and we only send the MD5 hash to Gravatar, never the email address in plain text. As with phone contacts, a user can revoke Gravatar access at any time in Settings or via UIConfig, and his/her app experience is not hindered or interrupted.​

 

Children's Privacy

OneSuite website is directed to a general audience. We do not knowingly solicit or collect personal information from children on our site.

Maintaining the Accuracy of Customer Information

We have procedures to see that customer information is maintained in a commercially reasonable manner so that it is accurate, current, and complete. We maintain security standards and procedures to help prevent unauthorized access to confidential customer information, and we regularly review, test and update our technology and procedures to improve the security and accuracy of such information. We take steps to correct information we determine to be incorrect.

Control Personal Information

You may choose not to receive marketing material from OneSuite. The instructions explain how to stop receiving such e-mails.

If you wish to opt-out of disclosure of receiving marketing material from OneSuite or wish to update or change your personal information held by OneSuite, please tell us by calling our Customer Support at 866-41SUITE (866-417-8483), or making modification on the "My Info" webpage to stop receiving such email by yourself. Please note that your request may take up to 2-3 business days to process. Once your request has been processed, it will remain in effect for the life of the account(s) unless you revoke it.

Cookies

OneSuite may occasionally use a "cookie". A cookie is a small piece of information given to your browser by a website, which can later be retrieved. A cookie is a way for a website to recognize whether or not you have visited the site before. The cookie cannot be read by a website other than the one that "set" the cookie. We use cookies for administrative purposes, such as EZ PhoneBook and RapiDial feature, or where you are able to customize the information you see. Recording cookies at such points makes your online experience easier and more personal. You can choose whether to accept cookies by changing the settings of your Internet browser. If you choose not to accept these cookies, some Web features may not work properly as intended.

Use of Personal Information

OneSuite and its operational service partners collect and use your personal information to operate OneSuite and deliver the services you have requested. OneSuite does not use or disclose sensitive personal information, such as race, gender, age, religion, or political affiliations, without your explicit consent.

OneSuite may request your e-mail address or mailing address for the purposes of conducting a survey or to provide additional services (for example, subscriptions to e-mail newsletters, announcement lists or special promotion events). Whenever OneSuite request the identity of a customer, we will clearly indicate the purpose of the inquiry before the information is requested. We maintain a strict "No-Spam" policy that means that we do not sell, rent or lease its customer lists to third parties. OneSuite may, from time to time, contact you on behalf of external business partners about a particular offering that may be of interest to you. In those cases, your personal information (e-mail, name, address, telephone number) is not transferred to the third party without your consent or as permitted by this Privacy Policy.

OneSuite may also be co-branded and offered in conjunction with another company. If you register for or use such services, both OneSuite and the other company may receive information collected in conjunction with the co-branded services. In such cases, either a joint privacy statement or a link to the other company's privacy statement will be provided, which will provide you with information about how the other company will use the information and how you can contact the other company with requests to access the information or other inquiries.

We may hire other companies to provide limited services on our behalf, such as handling the processing and delivery of mailings, providing customer support, processing transactions, or performing statistical analysis of our services. We will only provide those companies the personal information they need to deliver the service. They are required to maintain the confidentiality of your information and are prohibited from using that information for any other purpose.

OneSuite and any third party provider need to know your name, e-mail address, mailing address, credit card number, and expiration date. This allows us, or third party providers, to process and fulfill your order and to notify you of your order status. Credit card and e-mail information will not be shared or sold to third parties for any purpose except as provided in this Privacy Policy without your express permission.

OneSuite will not share any information you provide or any information about you with any third party for any reason unless absolutely required to do so by law.
